There are times, though, when your computer is moving at a snail's pace and you want to bang your keyboard on the desk or throw your monitor out the window... anything to make the thing work faster! Many of these issues with your computer slowing down can be eased or solved with simple "house cleaning" that should be performed every couple of months or so. Protecting your computer against dust

Dust is a major culprit in bogging down your computer. From a technician's standpoint, I cannot recall how many times I have opened a customer's computer and BAM! Dust bunny Central! Try to imagine a computer as you would your lungs. If your lungs are clogged, you cannot breathe. The same can be said for a PC. The inside of a computer is designed specifically to channel air through the case; to replace the hot air generated by all the components with cool air from outside. Try running a marathon with dust and cobwebs stuffed deep within your throat or lungs. You would rapidly expire from fatigue, head exhaustion, or a heart attack. Without fresh air to compensate for the heat generated by the computer's components, the computer will slow down, more and more, as time goes on. Eventually, things will go very wrong and operation will grind to a halt.

I suggest doing the following, once a month.

* Remove all cables from the computer
* Take a synthetic fiber brush and gently brush away the dust from the outside ports of the computer; the USB ports, back vent ports, power supply vents, etc. Anywhere that you see fleeing dust bunnies, brush these vermin elsewhere.
* Remove the side panel from the PC by unscrewing any screws and sliding it off.
* Use a vacuum hose to GENTLY vacuum up all the dust inside of the computer. As a note of caution, jamming the vacuum hose into all the tight and hard to reach corners of the case might get more dust out, but you might also damage the internal components. Be careful when doing so.
* If you like, you can use compressed air to clean out the corners and internal components of the case a bit more.
* After vacuuming all the loose, rampant dust bunnies up, replace the computer's cover and plug all your cables back in.

Disk Defragmenter

With the of the age of Windows 95 came a new and extremely useful tool - the Disk Defragmenter. What this tool does is take all of the files and pieces of files, that Windows has haphazardly strewn all over your hard drive, and organizes them. Just as you would tell your son or daughter to clean their room, you are telling Windows to clean its file system. This can free up space and bring back some of the old speedy days you saw before your computer became sluggish.

Basically, there are two main types of modems. Internal modems are installed inside the system unit in one of the spare slots at the back. External modems sit outside your computer, on your desk, and plug into one of the serial ports at the back of the system unit. Once you have a model, you can connect to the internet, send emails, and send and receive faxes, using your computer as a fax machine.

- Scanners. The basic operation of the scanner is to read the image of the object placed on the scanner pane of optical reading feature which converts the analog code into digitized code. A scanner will transform your paper images and photo prints into graphic files that you can then edit and use on your PC. Flatbed scanners, in which you lay your images face down and a light-sensitive device passes undernealth, are the most versatile and affordable type of scanner. The picture is stored as a graphic file that you can transfer directly to your computer through a connection cord. Good quality cameras are quite expensive, but it's worth remembering that you won't need to buy film and get it developed, and you don't need a scanner. Care should be taken while transferring the files from your camera to your computers. Improper transferring may lead to short circuiting of your digital camera. Never try to disconnect your device while transferring files from your digital cameras to the computers.

- Joysticks. If you're a fan of computer games, a joystick is essential. Many home PCs come with their own joystick, but you can also buy joystick with extra feature buttons and better grips. They plug into a port in your system unit. The best joysticks are those that also provide feedback. It's also possible to buy steering wheels and pedals for driving games. If you have the opportunity, you should try to use the joystick in-store before purchasing it. What to Do When Your Computer Freezes Up

Do not panic, if you can believe it, a computer freezes up in the modern world every 40 seconds, which means you will have someone joining you soon. Keep calm and try to figure out what you last did. Tapping on the keyboard and wildly swinging your mouse around will not help the situation much. If your keyboard is still responsive, try to ALT-TAB and see whether you can end the problem program. Usually it would be earmarked with something like ‘not responding’ tagged to its status on the task bar. If your keyboard is locked up, see whether or not you can move your mouse around. If the answer is a yes, then try to move it to the restart button, or try to right click and shut down some programs.

Well, these are the options that you have if your keyboard and mouse are still functioning. If you are tapping your keyboard and you get a beeping sound, then the entire system has locked you out, meaning Windows has gone into a freeze state that is irreparable. You will have no choice but to find your manual reset button (usually next to the power button on your CPU’s tower) and flick your computer back to life. What is the registry? The registry is the nexus of the Windows operating system, where all commands are written within its matrix. Removing Protection From a USB Flash Drive

How to Repair a Malfunction USB Flash Drive

Flash memory, flash drive, pen drive and memory drive are just some of the names that are used to refer to USB flash drive. It is a compact device that was developed to be a secure and safe data transfer as well as data storage gadget. While this travel data storage device may seem to be perfect, it is still possible that it might corrupt your data. Just like in any other technology, a USB flash drive is also prone to technical problems that often lead to the corruption or loss of data. Assuming that its hardware is undamaged, doing a re-format can solve USB problems.

USB formatting is as easy as A-B-C.
First, you have to right click on the removable drive corresponding to where the USB was inserted, and then click on the "format" option. For simple drive errors, scanning and re-formatting can work. In this manner, all the bad sectors of the USB will work like new.

When formatting does not solve your USB problems, you can make use of an alternate method. For more complicated USB problems, you will need to check the bios first to determine the actual problem. Before doing that, it is advised that you backup all the files from your hard drive to another hard drive, CD or DVD, and then turn off your computer. Insert your problematic USB on the drive port and turn on the computer. When the system bios are prompted, immediately press the F8 key. For some computers, it is the delete key or F2 key that initiate bios checking and take note of the operators that are listed on the screen. Using the cursor keys, navigate the bios and boot the CD drive first, save and then exit. Insert your operating system restore disk, save and restart. Simply follow the cue that initiates installation of your operating system. When the USB disk appears on the list of which drive format comes, then your USB is in the clear.

Depending on the options, you must opt out the re-installation of the operating system at this point. If it is still running, simply quit and leave the other drives alone. Try to reset the computer to boot from the disk instead of the CD drive as before. If your USB flash drive is already usable, it must now be detected in windows. If you fail to do this operating system re-installation, then just continue following the installation instructions. However, never try to install the operating system onto the USB disk drive.

Before going over your USB problems and trying out some troubleshooting tricks, have all your files backed up first, this task is something that must not be taken lightly. Although formatting seems easy, it is a lengthy process that needs to be done by somebody who fully understands the application. If everything else fails, get hold of your USB's warranty so you can get it fixed from customer support.

The universal serial bus (USB) is the “old new wave” of plug and play capabilities of Windows and other operating systems. Now, installing new pieces of hardware is extremely easy, all you need to do most of the time is to plug in the device through the USB port and wait until Windows detects it. If you are using Windows XP or Vista, you will realise that Microsoft has made things even simpler by having a database of drivers for common products from a long list of manufacturers. So really, the whole process of installing something can take as little time as you plugging it in, Windows detecting it, finding the driver and installing it for you.

Most of the time, there is no need for a restart, because the USB is based on the ‘plug and play’ interface, which means that usability of the product is literally instant. The range of products that now use the USB interface has now spread to across all manners of hardware and peripherals, like the mouse, keyboards, printers, scanners, DVD drives, external hard drives etc., just to name a few. The USB has also taken over the aged IDE female/male port that your ancient printer would have used for data transfer.

With the USB, data transfer can be almost 4 to 5 times faster than those old ports at the back of your PC. One of the more common problems that people do encounter when they try to install a USB device is that the installation will sometimes take too long, and they never know why. This is especially true when they install small USB flash devices or devices from third party manufacturers that are none too familiar on the market.

One of the common problems of this is that there could be a problem with the driver itself, which means that Windows or another operating system has trouble checking the binary files and is confused as to how to register the product. It will try a system of matching and elimination as it tries to register your new USB hardware. Another reason could be that the driver itself is corrupt, which means any and all system communication cannot be processed and thus your product cannot be recognised by Windows.

You need to check for either an alternative, more updated driver, or see if there is a copy you can download from the internet. Usually it is readily available in the tech support section of most manufacturers’ websites and they will often either post the driver or post a FAQ, where you should be able to find which problem you are experiencing and either a tech or user recommended solutions for it.

USB driver devices are still an easy alternative to complex data and installation for products and the plug and play viability of it still remains number one. Information Systems Theory 101

Systems work is not as hard as you might think. However, we have a tendency in this business to complicate things by changing the vocabulary of systems work and introducing convoluted concepts and techniques, all of which makes it difficult to produce systems in a consistent manner. Consequently, there is a tendency to reinvent the wheel with each systems development project. I believe I owe it to my predecessors and the industry overall to describe basic systems theory, so that people can find the common ground needed to communicate and work. Fortunately, there are only four easy, yet important, concepts to grasp which I will try to define as succinctly as possible.

1. THERE ARE THREE INHERENT PROPERTIES TO ANY SYSTEM

Regardless of the type of system, be it an irrigation system, a communications relay system, an information system, or whatever, all systems have three basic properties:

A. A system has a purpose - such as to distribute water to plant life, bouncing a communications signal around the country to consumers, or producing information for people to use in conducting business.

B. A system is a grouping of two or more components which are held together through some common and cohesive bond. The bond may be water as in the irrigation system, a microwave signal as used in communications, or, as we will see, data in an information system.

C. A system operates routinely and, as such, it is predictable in terms of how it works and what it will produce.

All systems embrace these simple properties. Without any one of them, it is, by definition, not a system.

For our purposes, the remainder of this paper will focus on "information systems" as this is what we are normally trying to produce for business. In other words, the development of an orderly arrangement or grouping of components dedicated to producing information to support the actions and decisions of a particular business. Information Systems are used to pay employees, manage finances, manufacture products, monitor and control production, forecast trends, process customer orders, etc.

If the intent of the system is to produce information, we should have a good understanding of what it is...

2. INFORMATION = DATA + PROCESSING

Information is not synonymous with data. Data is the raw material needed to produce information. Data by itself is meaningless. It is simply a single element used to identify, describe or quantify an object used in a business, such as a product, an order, an employee, a purchase, a shipment, etc. A data element can also be generated based on a formula as used in a calculation; for example:

Net-Pay = Gross-Pay - FICA - Insurance - City-Tax - Union-Dues - (etc.)

Only when data is presented in a specific arrangement for use by the human being does it become information. If the human being cannot act on it or base a decision from it, it is nothing more than raw data. This implies data is stored, and information is produced. It is also dependent on the wants and needs of the human being (the consumer of information). Information, therefore, can be defined as "the intelligence or insight gained from the processing and/or analysis of data."

The other variable in our formula is "processing" which specifies how data is to be collected, as well as its retrieval in order to produce information. This is ultimately driven by when the human being needs to make certain actions and decisions. Information is not always needed "upon request" (aka "on demand"); sometimes it is needed once daily, weekly, monthly, quarterly, annually, etc. These timing nuances will ultimately dictate how data is collected, stored, and retrieved. To illustrate, assume we collect data once a week. No matter how many times during the week we make a query of the data base, the data will only be valid as of the last weekly update. In other words, we will see the same results every day for one week. However, if we were to collect the data more frequently, such as periodically throughout the day, our query will produce different results throughout the week.

Our formula of "I = D + P" makes an important point: if the data is changed, yet the processing remains the same, the information will change. Conversely, if the data remains the same, yet the processing changes, the information will also change. This leads to a compelling argument to manage data and processing as separate by equal resources which can be manipulated and reused to produce information as needed.

3. SYSTEMS ARE LOGICAL IN NATURE AND CAN BE PHYSICALLY IMPLEMENTED MANY DIFFERENT WAYS

An information system is a collection of processes (aka, "sub-systems") to either collect and store data, to retrieve data and produce information, or a combination of both. The cohesive bond between these components is the data which should be shared and reused throughout the system (as well as other systems). You will observe we have not yet discussed the most suitable way to physically implement the processes, such as through the use of manual processes, computer programs, or other office technology. In other words, at this stage, the sub-systems of the system simply define logically WHAT data must be processed, WHEN it must be processed, and who will consume the information (aka "end-users"), but it most definitely does not specify HOW the sub-system is to be implemented.

Following this, developers determine a suitable approach for physically implementing each sub-system. This decision should ultimately be based on practicality and cost effectiveness. Sub-systems can be implemented using manual procedures, computer procedures (software), office automation procedures, or combinations of all three. Depending on the complexity of the sub-system, several procedures may be involved. Regardless of the procedures selected, developers must establish the precedent relationships in the execution of the procedures, either sequentially, iteratively, of choice (thereby allowing divergent paths). By defining the procedures in this manner, from start to end, the developers are defining the "work flow" of the sub-system, which specifies HOW the data will be physically processed (including how it is to be created, updated, or referenced).

Defining information systems logically is beneficial for two reasons:

* It provides for the consideration of alternative physical implementations. How one developer designs it may very well be different than the next developer. It also provides the means to effectively determine how a purchased software package may satisfy the needs. Again, the decision to select a specific implementation should be based on practicality and cost justification.

* It provides independence from physical equipment, thereby simplifying the migration to a new computer platform. It also opens the door for system portability, for example; our consulting firm helped a large Fortune 500 conglomerate design a single logical payroll system which was implemented on at least three different computer platforms as used by their various operating units; although they physically worked differently, it was all the same basic system producing the same information.

These logical and physical considerations leads to our final concept...

4. A SYSTEM IS A PRODUCT THAT CAN BE ENGINEERED AND MANUFACTURED LIKE ANY OTHER PRODUCT.

An information system can be depicted as a four level hierarchy (aka, "standard system structure"):

LEVEL 1 - System

LEVEL 2 - Sub-systems (aka "business processes") - 2 or more

LEVEL 3 - Procedures (manual, computer, office automation) - 1 or more for each sub-system

LEVEL 4 - Programs (for computer procedures), and Steps (for all others) - 1 or more for each procedure

Each level represents a different level of abstraction of the system, from general to specific (aka, "Stepwise Refinement" as found in blueprinting). This means design is a top-down effort. As designers move down the hierarchy, they finalize design decisions. So much so, by the time they finish designing Level 4 for a computer procedure, they should be ready to write program source code based on thorough specifications, thereby taking the guesswork out of programming.

The hierarchical structure of an information system is essentially no different than any other common product; to illustrate:

LEVEL 1 - Product

LEVEL 2 - Assembly - 2 or more

LEVEL 3 - Sub-assembly - 1 or more for each assembly

LEVEL 4 - Operation - 1 or more for each sub-assembly

Again, the product is designed top-down and assembled bottom-up (as found in assembly lines). This process is commonly referred to as design by "explosion" (top-down), and implementation by "implosion" (bottom-up). An information system is no different in that it is designed top-down, and tested and installed bottom-up. In engineering terms, this concept of a system/product is commonly referred to as a "four level bill of materials" where the various components of the system/product are defined and related to each other in various levels of abstraction (from general to specific).

This approach also suggests parallel development. After the system has been designed into sub-systems, separate teams of developers can independently design the sub-systems into procedures, programs, and steps. This is made possible by the fact that all of the data requirements were identified as the system was logically subdivided into sub-systems. Data is the cohesive bond that holds the system together. From an engineering/manufacturing perspective it is the "parts" used in the "product." As such, management of the data should be relegated to a separate group of people to control in the same manner as a "materials management" function (inventory) in a manufacturing company. This is commonly referred to as "data resource management."

This process allows parallel development, which is a more effective use of human resources on project work as opposed to the bottleneck of a sequential development process. Whole sections of the system (sub-systems) can be tested and delivered before others, and, because data is being managed separately, we have the assurance it will all fit together cohesively in the end.

The standard system structure is also useful from a Project Management perspective. First, it is used to determine the Work Breakdown Structure (WBS) for a project complete with precedent relationships. The project network is then used to estimate and schedule the project in part and in full. For example, each sub-system can be separately priced and scheduled, thereby giving the project sponsors the ability to pick and chose which parts of the system they want early in the project.

The standard system structure also simplifies implementing modification/improvements to the system. Instead of redesigning and reconstructing whole systems, sections of the system hierarchy can be identified and redesigned, thereby saving considerable time and money.

This analogy between a system and a product is highly credible and truly remarkable. Here we can take a time-proven concept derived from engineering and manufacturing and apply it to the design and development of something much less tangible, namely, information systems.

CONCLUSION

Well, that's it, the four cardinal concepts of Information Systems theory. I have deliberately tried to keep this dissertation concise and to the point. I have also avoided the introduction of any cryptic vocabulary, thereby demonstrating that systems theory can be easily explained and taught so that anyone can understand and implement it.

Systems theory need not be any more complicated than it truly is.
